Introduction
Math Dept (mathdept.app) is a math intervention and analytics platform designed for use by authorized school staff. The application is developed and administered by Robert Rajewich. Schools and school districts are the authorized users of the platform. This Privacy Policy describes what data the application collects, how it is used, who can access it, and how it is protected.
FERPA Compliance
This application operates in compliance with the Family Educational Rights and Privacy Act (FERPA), 20 U.S.C. 1232g. All student education records within the system are accessed only by authorized school officials who have a legitimate educational interest in the information. Math Dept functions as a school official under the direct control of the participating school, using education records solely for the purpose of providing math intervention and analytics services.
Data Collected
Math Dept processes student education records provided by the participating school or district via secure data exports. This data includes: student information (names, student IDs, grade levels, gender), program indicators (English Learner status, redesignation status, ELPAC levels, IEP and 504 plan indicators), academic data (course schedules, period and teacher assignments, gradebook assignment scores, grade category breakdowns, quarter and semester marks, gradebook GPAs), assessment data (course assessment and retake scores, state assessment results including CAASPP/SBAC performance levels), intervention records (math lab placement flags, placement status and history, timestamps, and associated staff actions), and parent/guardian contact information (names, phone numbers).
Staff information collected includes names, school email addresses, assigned roles within the application, and sign-in activity.
How Data Is Used
Student data is used exclusively for math intervention and department analytics, including identifying students who may need academic support, coordinating math lab placements and removals, tracking assessment retakes and remediation progress, producing proficiency and grade-distribution reports for department and administrative review, and supporting PLC data discussions. No student data is used for marketing, advertising, profiling, or any purpose unrelated to educational services.
Who Has Access
Access to Math Dept is restricted to authorized staff members at participating schools. Authentication is managed through Google Workspace single sign-on (SSO) restricted to the district domain, and only staff members registered in the application by an administrator are permitted to sign in. Staff access is role-based and school-scoped: staff see data appropriate to their assigned role and school. Sensitive operations are logged for audit purposes.
Data Storage and Security
All data is stored in a secure PostgreSQL database with encryption at rest and encryption in transit via TLS. The application is served exclusively over HTTPS. Security measures include role-based access controls enforced at both the application and database levels, session timeouts that automatically sign out inactive users, audit logging of sensitive operations, and school-level access scoping. No student data is stored on local devices or in browser storage.
Data Retention
Student roster and gradebook data is refreshed from district data exports, replacing outdated records with current information. Intervention placement history is retained with timestamps for historical reporting. Import history is retained for audit and troubleshooting. Data is retained only for the duration necessary to support intervention and reporting needs. Upon request from a participating school or district, all associated data can be permanently deleted.
Third-Party Sharing
Student data is not sold, shared, or disclosed to any third parties. The only external services involved in operating the application are Google Workspace (for authentication only — no student data is transmitted to Google), the database hosting provider (subject to their data processing agreement), and the application hosting provider. None of these services have access to student records beyond what is technically necessary to operate the infrastructure.
Data Ownership
All student education records remain the property of the participating school and district. Math Dept does not claim ownership of any student data. The application serves as a tool for managing intervention and analytics workflows, and the data within it originates from and belongs to the educational institution.
Rights and Requests
Parents and eligible students have the right to inspect and review education records maintained by the school, request corrections to records they believe are inaccurate, and file complaints with the U.S. Department of Education regarding alleged FERPA violations. These requests should be directed to the participating school's administration. The Math Dept administrator will cooperate with schools to fulfill data-related requests.
